The columns in your CSV
Each receipt becomes one row with the same ten columns, in the same order every time, so a sheet built from ten receipts today lines up with one built from twenty next month.

Text read off a receipt that starts with =, +, - or @ is written with an apostrophe in front, so a spreadsheet shows it as text rather than running it as a formula.
How to use it
- Photograph each receipt flat, in good light, with the whole receipt in view.
- Drop up to five photos or PDFs at a time into the box above.
- Check any row that looks wrong against the receipt itself.
- Download the CSV and open it in Excel or Google Sheets, or import it into your books.
Each receipt is read on its own, one after another, by the same reader TapTax uses in the app. It reads the date, the shop, the totals and the VAT, and checks that the figures add up before they reach your sheet.
- Keep the receipts themselves, not just the spreadsheet.
- A CSV is a summary; the receipt is the evidence behind an expense if HMRC ever asks.
Till receipts and VAT
Most till receipts print only a total with the VAT already inside it. That is a simplified VAT invoice, which a VAT-registered business may issue when the total, including VAT, is £250 or less. It still needs the supplier's name, address and VAT number, the date, a description, the total, and the VAT rate for each item. When a receipt shows the net and VAT separately, both land in their own columns; when it shows only the total, the Net and VAT columns are left blank rather than guessed.
If you are not VAT registered, the total is the figure that matters: it is the expense you claim. If you are, the VAT column and the supplier's VAT number are what support reclaiming the VAT on your return.

Receipts are read and discarded. Nothing is saved, nothing is added to an account, and the CSV is built in your browser from what is on screen. From a spreadsheet to Making Tax Digital
Self-employed people and landlords with qualifying income over £50,000 must keep digital records and send quarterly updates to HMRC from 6 April 2026, falling to £30,000 from April 2027 and £20,000 from April 2028. Is a spreadsheet of receipts enough for HMRC?
It is a useful summary, but keep the receipts too. Under Making Tax Digital for Income Tax you also need digital records and quarterly updates from compatible software, which TapTax provides.
