If you have already sent an invoice and it has been paid, a receipt is a courtesy, not a requirement, but customers who claim the cost as an expense often ask for one. For cash and card sales with no invoice, the receipt is the record of the sale for both of you.

What a receipt should show

  • Your business name and address.
  • A receipt number, so each one can be found again.
  • The date the payment was made.
  • What was paid for, line by line.
  • The amount paid, and the VAT within it if you are VAT registered.
  • Who paid, when you know it.

Receipts made here are stamped PAID and show the date paid and the total paid, so they cannot be mistaken for a bill.

Receipts and VAT

A VAT-registered business may give a simplified VAT invoice when the total, including VAT, is £250 or less. It still needs your name, address and VAT number, the date, a description of what was supplied, the total, and the VAT rate for each item. Choose the VAT rate and add your VAT number above, and the receipt carries all of that. If you are not VAT registered, leave VAT as None: you must not show VAT you cannot charge.
