Rent receipts protect both sides. Tenants need proof of payment for benefits claims, disputes, and references. Landlords need a clear record of rent received for their tax return and for any possession or arrears claim. This template shows the property, the period the rent covers, the amount, the method and any arrears, so there is never doubt about what has been paid.

When to use a rent receipt

Give a rent receipt whenever a tenant or lodger pays rent in cash, and whenever a tenant asks for one. Landlords of weekly tenancies must provide a rent book, which does the same job. For rent paid by bank transfer or standing order, a monthly or annual statement of rent received can replace individual receipts. Letting agents usually issue receipts or statements automatically. Keep a copy of every receipt as your record of rental income.

Line by line: Rent for 1 to 31 [Month] [Year], 1 month × £950.00 = £950.00. The subtotal is £950.00, which is also the rent received because no VAT is charged. The figures are illustrative; replace them with your own.

How to fill in the template

  1. Add your name and address, or your agent's, and the tenant's name.
  2. Add the property address.
  3. State the rental period the payment covers.
  4. Show the amount and how it was paid.
  5. Show any arrears before and after the payment.
  6. Give the tenant a copy and keep yours with your rental records.

Give each rent receipt its own number in a single sequence, and never reuse one. A number lets you and your customer refer to the document without confusion, and an unbroken sequence shows your records are complete. The invoice number generator suggests a format that stays tidy for years.

Rent books and rent in advance

Where rent is payable weekly, the landlord must provide a rent book or similar document under the Landlord and Tenant Act 1985. For other tenancies there is no general duty to give receipts, but tenants often need them, and they are good practice. In England, from 1 May 2026, the Renters’ Rights Act means a landlord cannot ask for or accept rent before the tenancy agreement is signed, and after signing can ask for a maximum of one month’s rent in advance. Rent can be increased only once a year, using the prescribed notice. Rules differ in Wales, Scotland and Northern Ireland.

Rent receipt or deposit receipt?

A rent receipt records rent for a period. A deposit receipt records a tenancy deposit, which must be protected in a government-backed scheme within 30 days. Keep them separate: a deposit is not rent and must not be used to cover rent unless the tenancy ends and the deductions are agreed.

Rental income and tax

Rent is taxable income for the landlord. The first £1,000 of property income is covered by the property allowance, and a landlord letting furnished rooms in their own home can receive up to £7,500 a year tax-free under the Rent a Room Scheme. Above those, report rental income and allowable expenses on your Self Assessment return. Rent receipts and bank statements are the evidence of the income, so keep them for each tax year.

Making Tax Digital for landlords

Making Tax Digital for Income Tax applies to landlords as well as sole traders. From 6 April 2026, it applies if your combined qualifying income from self-employment and property is over £50,000, falling to £30,000 from April 2027 and £20,000 from April 2028. You then keep digital records and send quarterly updates. Rent receipts and statements feed those records, so a consistent format each month saves time.

Rent paid in cash

If a tenant pays in cash, always give a receipt, with the amount in figures and words and your signature. Without one, the tenant has no proof, and you have no evidence if the payment is later disputed. Bank the cash promptly so your bank statements match your rent records. Encouraging payment by standing order is usually simpler for both sides.

Arrears and part payments

If the tenant pays less than the full rent, record the amount and show the arrears on the receipt. Allocate each payment to the oldest period owed unless you agree otherwise, and keep a running rent account. If arrears build up, a clear record of every payment and every shortfall is essential for any arrears claim or possession proceedings.

Lodgers and rooms

Resident landlords renting a room to a lodger should still give rent receipts, especially if the lodger pays in cash. Under the Rent a Room Scheme, gross receipts, including any charges for meals, cleaning or laundry, count towards the £7,500 threshold, so record everything the lodger pays, not just the rent. If you share the income with someone else, the threshold is £3,750 each.

Worked example

A landlord lets a flat for £950 a month, paid by standing order on the 1st. In March the tenant pays only £700 and the remaining £250 in cash on the 15th. The landlord issues receipt RR-0031 for the £700 showing arrears of £250, then RR-0032 for the £250 cash showing a nil balance, signed and with the amount in words. Their rent account shows both payments allocated to March. At the tax year end, the rent receipts and bank statements add up to the rental income on their return, and if the tenant later applies for help with housing costs, the receipts prove the rent was paid.

Annual rent statements

Where rent is paid by bank transfer, many landlords send a single annual statement instead of monthly receipts, listing each payment date and amount and the balance at the end of the year. Tenants find it useful for benefits reviews and references, and landlords use it to check their own records before completing a tax return. Include the property, the period covered, every payment, and any arrears or credit carried forward.

Common rent receipt mistakes

  • No period stated. Say which week or month the rent covers, or disputes about arrears follow.
  • Treating a deposit as rent. Deposits must be protected and kept separate from rent.
  • No receipt for cash rent. Always give one, with the amount in words and your signature.

Checklist before you send it

Before a rent receipt goes out, check it against the list of what it must show:

  • The words "Rent receipt", a number and the date is on it and correct.
  • The landlord's or agent's name and address is on it and correct.
  • The tenant's name is on it and correct.
  • The property address is on it and correct.
  • The period the rent covers is on it and correct.
  • The amount and payment method is on it and correct.
  • Any arrears or balance is on it and correct.
  • A copy is saved with your records.

Sending it

Send the rent receipt as a PDF attached to an email, not as an editable file. In the email, say what it is, its number, the amount and any date that matters, so the reader can act without opening the attachment. Send it to the person or inbox that deals with it, which for a business is often an accounts address rather than the person you worked with, and keep a copy of the email and the PDF together in your records.

Keep a copy of every rent receipt you issue or receive, digital is fine, with the payments that relate to it. From 6 April 2026, sole traders and landlords with qualifying income over £50,000 must keep digital records and send HMRC quarterly updates under Making Tax Digital, falling to £30,000 from April 2027 and £20,000 from April 2028.
